The following statement makes clear how your personal information will be treated by Royal Voluntary Service (“we”, “us” or “our”). This policy may change from time to time so please check back periodically. If you come back to this website you are agreeing any changes.

1. What information do we collect and how do we collect it?

We collect the following information regarding visitors to our website at, visitors to any of our microsites which are available via our website and visitors to our document library website (which is just for use by our staff and volunteers) (“our sites”):

  • information regarding what pages are accessed and when;
  • information volunteered by you, such as your responses to surveys or competitions and information you provide by filling in forms on our sites, posting material or requesting services or information from us; and
  • your preferred means of communication and personal information offered by you when you contact us such as your address, phone number, email address etc.

We may also have received information about you from third parties, such as your contact details when a friend has sent an e-card. You do not have to provide personal information to browse our sites, other than our document library website (which is just for use by our staff and volunteers) which requires you to provide your log-in details.

We may collect information about your computer, including where available your IP address, operating system and browser type, for system administration and to report aggregate information. This is statistical data about our users’ browsing actions and patterns and doesn’t identify any individuals.

Our sites uses cookies to distinguish you from other users of our sites. This helps us to provide you with a good experience when you browse our sites and also allows us to improve our sites. 2. How is your information used?

We use the information we collect about you to help us understand more about our sites and how to improve them; to help us communicate with you about subjects that may be of interest to you (including our products, services, activities and fund-raising), either electronically or otherwise; and to allow you to participate in interactive features on our sites, when you choose to do so.

We may also permit selected third parties to use your data, to provide you with information about goods and/or services and/or subjects which may be of interest to you. Where we permit selected third parties to do so, they may contact you by post, telephone or email, but only if you have consented to this.

3. Who holds your information?

Whilst we collect your personal information we may use other organisations to help us carry out our day-to-day activities, for example, we may use mailing houses to send out direct mail to you, using the personal information you provide us with. We ask these organisations to respect the confidentiality of your personal information.

The personal information that we collect from you may be transferred to, and stored at a destination outside the European Economic Area (“EEA”). It may also be processed by people operating outside the EEA who work for us or for one of our suppliers. Such staff maybe engaged in, among other things, the provision of support services to us. By submitting your personal data you agree to this transfer, storing and processing.

4. With whom do we share your information?

We are committed to protecting your personal data. Any details that you provide to us will be held in accordance with the Data Protection Act 1998 and we will not generally volunteer this information to other organisations outside our group without your consent. In this context see sections 2 and 3 above.

We will however disclose your personal information if we are under an obligation to disclose your personal information in order to comply with any legal obligation, or in order to enforce or apply our terms of use or other agreements or to protect our rights, the rights of users of our sites and others.

5. How do we protect your personal information?

When you give us personal information we take reasonable steps to ensure that your information is treated securely. For example, information you provide to us is stored on our secure servers and we use strict procedures and security procedures to prevent unauthorised access. However, the internet isn’t completely secure and therefore we cannot guarantee that your information, once transmitted over the internet, will be secure. As a result, while we take reasonable steps to protect your personal information, we cannot give you any promises about the security of any information you transmit to us, and you do so at your own risk.

6. How can you remove your personal details?

You have the right to ask us not to process your personal information for marketing information. You can exercise your right to prevent such processing by checking certain boxes on the forms we use to collect your personal information. If you have opted into receiving communications from us or from selected third parties but you later change your mind, please contact our webmaster. If you are a registered user, you can update your preferences on your profile page. Our electronic newsletters also give you the option to opt-out of receiving future newsletters.
